Inaugural AGM as a PLC

The Context

We supported this world-leading consumer health company behind the biggest and most recognisable oral health brands. For their inaugural Annual General Meeting as a public limited company, Aspect was tasked with supporting through the whole process of running the event, including:

  • Defining and shaping the overall approach
  • Developing briefing packs for the Chair and the Board
  • Leading rehearsals
  • and producing all aspects of the meeting on the day

The brief from the Chair and their team was clear: make the meeting a relaxed affair and ensure it doesn’t feel over-produced or complicated.

Our work

In response, Aspect designed a hybrid meeting format that allowed optimal accessibility for all Board members and shareholders across the business and its different locations. Filming and streaming the meeting under live studio conditions allowed the Chair and six of the Board members to run the meeting in person, while the remaining six joined in virtually at the same time.

With careful consideration given to the launch of the new corporate brand, we designed a studio that perfectly represented the new era of the business. The AGM started with business presentations from the Chair and CEO before opening to questions from shareholders, some of which had been received in advance. Several more questions followed live during the meeting both via the virtual platform and the audio line in, moderated by a member of the Aspect team to ensure a good flow of content and information in the live studio.

The outcome

Any shareholders who attended the meeting in person were able to watch and participate in the meeting from a viewing room we had set up for the occasion, which also provided refreshments and an opportunity to connect with Board members after the meeting.

Based on the success of their first AGM, its accessibility to shareholders across the country and the positive feedback they received from this year’s participants, this consumer health care company will continue to explore a digital format for their future meetings.
