The Context

As one of the world’s largest oil companies with a history of important but challenging AGMs, our client needed a trusted agency with the appropriate depth of expertise and knowledge to run their 2024 Annual General Meeting.

 

 

 

 

Our Work

Our client’s AGM had historically been held in central London and often taken up to three hours to conclude. Working in close partnership with the client team, we took the strategic decision to move the traditional in-person meeting to one of their office locations out of central London – allowing them to showcase one of their other sites – and introduced a virtual element to proceedings to make it a fully hybrid meeting.

To support the need for enhanced security measures, we created an entirely separate security and registration area a distance away from the meeting, to ensure that any potential disruptions would not impact the AGM itself.

As well as the crucial matter of security, our client trusted us to handle any other unknowns on the day of the meeting. As it was impossible to predict the number of attendees, we built a main room for shareholders to watch the proceedings in person, with additional viewing rooms available for any other shareholders in attendance to engage with the meeting virtually. This arrangement gave us the option to scale the available space up or down depending on attendance on the day.

The hybrid technology used allowed those shareholders watching the meeting from the viewing room to ask questions live during the meeting if required. Safe in the knowledge that this was an option, shareholders were happy to submit their questions in writing in advance, thus helping with the smooth and timely running of the meeting. The Company Secretary played a vital role in successfully orchestrating the Q&A between shareholders and the Board.

The Outcome

Running the AGM as a hybrid meeting at one of their regional sites allowed our client to manage attendee numbers more effectively and use the time allocated for the meeting more efficiently, reducing it to 90 minutes overall. This efficient time management allowed for the discussion of a wide range of topics and ensured all voices were heard, resulting in excellent shareholder engagement.

A delicious take-home lunch delighted the shareholders and ensured everyone left the meeting feeling both valued and informed. Working in close collaboration with our client, this hybrid AGM was an example of best-practice planning and delivery in action – peaceful, well controlled, concise, and engaging.
