The Context

Our client’s AGM is a vital moment in its corporate calendar – an opportunity to formally update shareholders while demonstrating transparency, efficiency, and professionalism.

In 2025, the stakes were even higher, as the meeting marked the final appearance of the outgoing CEO after 35 years with the company.

The challenge was to deliver a seamless and engaging hybrid event that balanced formality with warmth, ensured active shareholder participation (both in-room and online), and kept the day running efficiently so the business could return to its usual rhythm quickly.

Our Work

Aspect was entrusted with the end-to-end planning and execution of this high-profile hybrid event.  Working closely with the client team, we designed an approach that was logistically smart, emotionally resonant, and technically watertight.

Smart Venue Selection

  • We sourced and secured Warwick Conferences, a cost-effective, centrally located venue near our client’s key office locations.
  • This helped minimise travel requirements for both staff and shareholders, with electric vehicle transport provided from the nearest station to further align with the client’s sustainability values.

Creating the Right Atmosphere

  • We transformed a lecture theatre into a branded, welcoming environment that felt professional yet personal.
  • The stage format featured four people seated conversationally, encouraging a relaxed, intimate tone.
  • The remaining board members were seated front-row and stood to greet shareholders during introductions – a simple but powerful gesture that added warmth.

Thoughtful Content & Flow

  • We opened with a high-impact video and a set of engaging presentations to set the tone.
  • A surprise personal tribute to the outgoing CEO created a moment of genuine appreciation and closure.
  • The new CEO was introduced with warmth and optimism.
  • Q&A sessions were strategically moderated to ensure a natural progression through key themes, drawing on questions from both in-person and online participants.

Maximising the Day

  • The schedule was optimised to allow for informal networking before and after the meeting, with refreshments and board members available for conversation.
  • The board’s time onsite was fully utilised with additional meetings scheduled around the AGM.

Seamless Operations

  • Aspect led script development and refinement, ensuring clarity, impact, and consistency across all speakers.
  • We managed technical delivery, branding, and streaming, ensuring a smooth experience for all stakeholders.
  • Full pre-event rehearsals and Q&A briefings ensured everyone was confident and aligned going into the day.
